The PressArea enquiry feature allows you to take enquiries from press, media and influencers online or over the phone. You can then handle and monitor the enquiry and audit you and your teams’ effectiveness.
Answering media questions is one of the basic tasks of any PR and communications team and it’s also one of the tasks with the most potential to go wrong. If you’re one of those people who return to a screen full of post-it notes after a meeting or lunch, then you’ll know just how easily things can go wrong, you never know how urgent the call was, the phone number or email may not be right and if you need to pass the media request on to a colleague you need to take 10 minutes to describe all of the details.

However, it doesn’t have to be that way. By replacing your current systems and working with PressArea’s Press Query cloud-based system you can get access to queries wherever you are, no matter what device you’re on, and it’s simple to see what’s happening on each query, without having to dig through endless email trails.
With PressArea’s Press Enquiry you can keep track of a query from an email or a telephone call all the way through to the query being acted on and completed. You can take queries online directly from your website, or you can add queries into the system from a phone call or an email. You can then assign queries to people in your team – or to an external agency – and reassign a query to someone else if you feel they’d be better at or have more time to answer it. With Press Enquiry you can also see reports of what sort of queries you and your team are working on, see how many queries they’re currently working on, how many are completed and how many are past their deadlines.
The Press Enquiry system has a full audit trail so you can see who made changes to a query, you can add copies of documents you’ve sent to the media, and you can see who currently owns and is working on a particular query. Permissions to access the enquiry system can be granted and revoked in moments, and you can choose exactly who needs to receive email notifications.
It’s also simple to add new query types, so for example if you have lots of queries about how your business is working to minimise a problem like a virus etc you can add this as a category.
Is this an add-on?
The solution is part of the PressArea standard solution and is available to everyone using PressArea.
How do I know if an enquiry is urgent?
The enquiry list is colour coded depending on the time remaining until the journalist’s deadline, so urgent requests are obvious at a glance. The list is quick and easy to sort and filter according to enquiry type and press officers, with the additional option of reassigning enquiries to other team members.
Can I include people in outside agencies to Press Queries?
Yes, you can assign a press query to anyone with an email address. If you have a PR agency dealing with questions on particular product groups or particular issues, then it’s quick and easy to assign a query to them.
Is there a limit on the number of Press Queries we can take?
No there’s no limit on the number of queries or the number of people that you can assign a query to.
I normally farm out queries to the team can I setup as a gate keeper?
You can have a nominated person or persons to who all new press queries are sent to. They will receive an email notification and can then assign the queries.
How do I add a query to the system?
Queries can either be entered via the web, or you can go to the Add Query section tab and add a media request either from a phone call, or cut and paste a query from an email.
